Position Summary
We are seeking a knowledgeable and proactive Clinical Applications Analyst to support the full spectrum of health IT systems used in our outpatient orthopedic clinics and Ambulatory Surgery Center (ASC) across all OCP markets. This role is critical in ensuring our physicians, surgical teams, and administrative staff are empowered with well-integrated, efficient, and compliant systems, including EHR/PM, Dragon Medical One (Copilot), Radiology Imaging/PACS, Online Scheduling, Call Center, ASC workflow tools, and Patient Portals.
This position supports day-to-day operations and strategic initiatives across the organization, including multiple locations and a surgical center. The Analyst will be involved in workflow optimization, implementation of system enhancements, cross-platform integration, and enterprise-wide standardization. As needed, participation in after-hours and weekend on-call support rotation is required.
Core Accountabilities & Key Responsibilities:
1. EHR/PM Support – Orthopedics & ASC
- Serve as the lead application analyst for EHR and PM, supporting orthopedic outpatient clinic workflows (e.g., fracture care, injections, PT referrals) and ASC documentation (e.g., H&Ps, consents, op notes).
- Customize templates and workflows specific to outpatient orthopedics and ASC procedures (e.g., joint replacements, arthroscopies, spine injections).
- Support documentation and scheduling workflows that span clinic and surgical settings, including pre-op clearance and post-op follow-ups.
- Coordinate and support integrations between outpatient EHR and ASC scheduling, inventory, and compliance systems.
2. Third-Party Systems & Workflow Integration
Dragon Medical One / Copilot (transcription):
- Support orthopedic surgeons and providers in voice-enabled documentation across clinical and surgical environments.
- Train and maintain specialty vocabularies and custom voice commands aligned to orthopedic and procedural terminology.
- Radiology Imaging / PACS
- Ensure seamless image ordering, viewing, and documentation across orthopedic clinics and surgical planning systems.
- Facilitate integration of X-rays, MRIs, and other modalities directly into the EHR for pre- and post-surgical documentation.
- Online Scheduling & Patient Engagement Tools
- Configure and support online scheduling for clinic and pre-surgical appointments.
- Maintain patient portal functionality for intake, surgical instructions, imaging uploads, and discharge follow-ups.
- ASC Software Systems (e.g., inventory, scheduling, compliance, case management)
- Collaborate with ASC leadership to support digital tools used for surgical case management, preference cards, supply tracking, and anesthesia documentation.
- Ensure accurate handoff of clinical documentation between clinic and ASC systems.
- General & Future System Support
- Provide support for a wide range of current and future third-party clinical applications across the outpatient clinic and ASC environments.
- Participate in the planning, implementation, and ongoing support of emerging solutions - including call center automation, AI voice assistants, and virtual triage tools - as part of enterprise digital transformation initiatives.
3. Data & Reporting Support
Build and maintain dashboards and custom reports to support key operational and clinical performance metrics across both the outpatient orthopedic practice and ASC.
- Support reporting needs from the EHR and Practice Management (PM) systems, including appointment utilization, provider productivity, billing reconciliation, and patient flow metrics.
- Collaborate with clinical, administrative, and quality teams to manage MIPS and other regulatory reporting requirements.
- Maintain and optimize integrations and data flow from platforms like PatientIQ, supporting patient-reported outcomes (PROs), surgical follow-up surveys, and orthopedic-specific quality metrics.
- Extract, clean, and interpret data to support strategic decision-making, compliance audits, and enterprise-level initiatives.
4. Training, Optimization & Workflow Improvement
- Deliver initial and ongoing training for orthopedic providers, ASC staff, surgical schedulers, and clinical support roles.
- Create, maintain, and distribute training materials and user guides specific to orthopedic and surgical workflows.
- Evaluate workflows and propose system-driven improvements in areas such as pre-op clearance, surgical scheduling, discharge documentation, and regulatory compliance.
5. Enterprise & Market-Level Responsibilities
- Lead or contribute to implementation and optimization projects across multiple outpatient clinic sites and ASC locations.
- Support enterprise-wide standardization of templates, workflows, and system integrations.
- Collaborate with compliance, ASC administration, and orthopedic leadership to ensure consistent IT practices across all care settings.
- Assist with data governance and reporting initiatives relevant to the orthopedic service line at the enterprise level.
6. After-Hours & Weekend Support
- Participate in a scheduled after-hours/weekend on-call rotation, with availability to support critical issues, go-live support, or system outages affecting clinical or surgical operations.
- Ensure timely triage, communication, and resolution or escalation of support incidents.
